Privacy Policy
Synced is a coordination tool for executives and their assistants. This policy explains what we collect, how we use it, the service providers we share it with, and the choices you have. Synced is in closed beta; we will update this policy as the product evolves.
What we collect
- Account and workspace data. Your name, email, avatar, role, working timezone, and the workspace, pairs, and assignments you belong to.
- Content you create. The cards, replies, notes, standard operating procedures (SOPs), and Athena conversations you write, including their history and edits.
- Connected calendars. If you connect Google or Outlook, we read calendar events to show availability and help with scheduling. Calendar access is read-only and off by default; you choose when to turn it on, and an assistant only sees an executive's calendar after the executive shares it.
- Attachments. Files you upload to a card or note.
- Meetings. When you hold a meeting in Synced and everyone present consents, we capture audio to produce a transcript and AI notes. We do not record without consent.
- Usage and diagnostics. Basic log and error data (for example, IP address, device and browser, and crash reports) used to keep the service running and secure.
How we use it
We use your data to operate Synced: delivering cards between you and your partners, syncing calendars, running meetings, and powering the AI features (Athena, intelligence, and AI meeting notes). We also use diagnostic data to fix problems and protect the service.
AI processing
Synced's AI features send relevant content (for example, the text of cards, notes, SOPs, calendar entries, or meeting transcripts) to the AI providers listed below to generate responses, summaries, embeddings, and transcripts. We use these providers' business or API offerings, which do not use your content to train their models.
Service providers
We share data with the following providers only as needed to run Synced. Each handles your data under its own security and confidentiality terms.
- WorkOS: sign-in and identity (Google, Microsoft, Apple).
- Resend: transactional and notification email.
- Anthropic, OpenAI: AI assistant and inference.
- Voyage AI, Cohere: text embeddings for search and retrieval.
- Qdrant: the vector search index for that retrieval.
- Deepgram: meeting speech-to-text transcription.
- LiveKit: real-time audio and video for in-app meetings.
- Cloudflare R2: storage for uploaded attachments.
- Sentry: error and crash monitoring.
- Railway, Vercel: application and database hosting.
What we never do
We never sell your data. We never let AI providers train their models on your content. We never show your private content to other workspaces.
Retention and deletion
We keep your data while your account is active. You can delete your account from Settings; deletion removes your personal content, private AI data, and connected-calendar cache, and revokes the integrations we hold for you. Some records may persist briefly in backups before they age out. To request deletion or ask a question, email privacy@syncedapp.io.
